About us and this policy
LMJ Communications Ltd (“LMJ”, “we”, “us” or “our”) is a company registered in Northern Ireland under company number NI068928. Our registered address is 60 Sicily Park, Belfast, BT10 0AN. We are registered with the Information Commissioner’s Office (“ICO”) under registration number ZA689264.
This policy applies to personal information we process in connection with our communications, advertising, branding, creative, research and consultancy services, our business relationships, and the website at lmjcomms.com.
For the activities described here, LMJ is normally the data controller. Where a client asks us to process personal information solely on its behalf, that client is the controller and the work is governed by our contract and data-processing terms with them.

Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details — name, organisation, job title, email address, telephone number and business address.
- Enquiry and communications information — the contents of emails, calls, briefs, proposals, meeting notes and other correspondence.
- Client and supplier information — contract contacts, project records, instructions, invoicing information and records needed to manage our relationship.
- Research and campaign information — information supplied for agreed research, consultation, engagement or campaign activity. We agree the relevant roles and safeguards with the client before processing begins.
- Technical information — IP address, browser, device, dates and times of access, requested pages and security logs generated when you use our website.
- Public and professional information — relevant information from public sources, professional networks or referrals where appropriate to our work.
We do not intentionally collect special-category information through this website. Please do not send sensitive personal information unless it is necessary and we have agreed a secure method for doing so.

How and why we use information
Where we rely on legitimate interests, we consider the benefit to LMJ or others, whether the processing is necessary and the impact on you. We will not use your information for an incompatible purpose without providing further information and, where required, obtaining consent.
We do not use personal information for solely automated decision-making or profiling that produces legal or similarly significant effects.

We use appropriate technical and organisational safeguards, including access controls, multi-factor authentication for administrative access, encryption in transit, backups, security updates and incident-response procedures. Access to personal information is limited to people who need it for an authorised purpose and who are subject to confidentiality obligations.

How long we keep information
We may retain information for longer where required by law, a dispute, regulatory enquiry, legal hold or agreed client instruction. We securely delete or anonymise information when it is no longer needed.

Your data-protection rights
Depending on the circumstances, you may have the right to:

- Access — ask for a copy of the personal information we hold about you.
- Rectification — ask us to correct information that is inaccurate or incomplete.
- Erasure — ask us to delete your information where there is no compelling reason for us to retain it.

- Portability — receive certain information in a portable format where the right applies.

These rights are not absolute and exemptions may apply. There is usually no fee. We normally respond within one month, although a complex request may be extended by up to two further months; if so, we will tell you within the first month. We may need to verify your identity before responding.

We review this policy regularly and update it when our activities, suppliers or the law change. The current version and date appear at the top of this page. If a change materially affects how we use information already collected, we will take reasonable steps to bring it to the attention of those affected.
